Overview

Approval of hours

All time registrations on orders must be approved, either by the order responsible or an administrator.

The EG Pro+ app includes the calendar with time registration and can be installed via the Xena App Store. This guide assumes that the app is installed in your fiscal.

As a minimum, you can approve the hours registered on orders where you are selected as order responsible. Under the approval rules, you can enable or disable whether costs must be approved by the order responsible, and you can also select a user who can always approve — e.g. as a backup during holidays or other absence.

Using daily registration

If hours and materials are registered via the EG Go app or via the calendar as Daily Registration, they must be approved via the menu Project > Cost Registration.

Approve daily registrations in Xena

Using time stamping

If hours are registered via the EG Go app or via the calendar as Time Stamping, they must be approved via the menu Time > Time Stamps.

  1. Click the Employee button and select specific employees or select all

  2. Set the date interval

  3. In the list, click the arrow at the top to expand all employees

  4. You can also manually expand one employee at a time

  5. To see individual time stamps for a specific day, click the day's total hours

In the detailed view, you can jump directly to the order. You can also change the From time, Type, and Order task.

If you change the From time, the other registrations will also automatically adjust, as there must be no gaps between time stamps.

View approved hours

On the order, you can find the hours on the Costs tab. You can also see an overview of registrations across orders via the project reports under the menu Project > Reports — e.g. the Employee Costs report.
