Copy fiscal

You can copy your fiscal into a new fiscal, along with all configurations and core data. It's quick and straightforward!

You can create a new fiscal by copying your existing one, incl. all settings and master data. This is practical if you e.g. want to create a trial fiscal and later copy it to a live fiscal — so you don't have to set up everything from scratch.

 

Create copy

1. Go to the menu Setup > Company > Business Profile

2. In the Basic data section, click the menu (three dots) and select Copy fiscal setup

3. Accept the data processing agreement and click Copy fiscal setup

4. Wait until the system closes the warning and opens the new fiscal (this takes approx. 1 minute)

 

After copying

Once the copying is complete, you can open your Xena Dashboard via the profile icon in the top right corner > My Dashboard.

You will see two fiscals with the same name. The old fiscal has (OLD) appended to the name — the new fiscal keeps the original name.

The following is not copied to the new fiscal:

• Postings

• Orders and projects

• Other users

• Installed apps

• Entered payment card

 

Setting up the new fiscal

In the new fiscal, you need to do the following:

1. Add a payment card via Setup > Company > Subscription

2. Verify the fiscal year dates via Setup > Ledger Setup, the Fiscal Year tab

3. Install desired apps via Apps > App Store

4. Invite other users via Setup > Company > Users

Note: The dates for the first fiscal year cannot be changed once there are postings in the fiscal.

 

The old fiscal

Please note that subscription costs apply to both fiscals as long as the old fiscal exists.

Keeping the old fiscal

If you want to keep the old fiscal, you can reduce costs by:

• Removing other users via Setup > Company > Users

• Uninstalling apps you no longer use via Apps > App Store

 

Deleting the old fiscal

If you want to delete the old fiscal, go to Setup > Company > Subscription. At the bottom of the page you will find Terminate Subscription.

Note: Always verify that you are in the correct fiscal before deleting — the old fiscal has (OLD) appended to the company name.

• Deleting a fiscal is permanent and cannot be undone

• Always generate a backup before deleting the fiscal
