User roles

In Xena, roles are crucial in determining the access and functionality a user has in the accounting system.

Overview of Roles

Roles are assigned to users when they are invited to the fiscal accounting system, but they can always be changed by an administrator. Here is an overview of the different roles and their permissions.

Roles marked with an asterisk (*) are free roles.

Administrator: This role provides full access to all modules in Xena, as well as the rights to manage employees, roles, and apps.

Bookkeeper: A user with this role has access to all modules except for the administration of the user roles and adding apps.

Project Employee: This role provides access to work with orders and projects. It requires the user to add one of EG's project apps (e.g., EG Pro or EG Pro+).

Sales assistant: A user with this role has access to work with orders, customers, and suppliers.

Warehouse Employee: This role grants access to view and works with the full warehouse module.

Employee*: This role does not provide access to modules in Xena. The user needs to add the EG Go app and optionally the EG Log app for functionality. The EG Go app is used for time registration, and the EG Log app is used to add images/documents to tasks and fill out quality assurance forms/checklists.

Accountant*: A user with this role can view balances, generate reports, search documents, extract data, and edit opening entries.

Bank*: This role can view balances and generate reports but cannot make changes.

Accounting with Project

In addition to roles, there are also various apps that provide access to different features and modules in Xena. To work with projects in Xena, the EG Pro+ app needs to be installed.

EG Pro+: This app provides full access to the project module, including setup and reports. Users with this app also automatically have access to the Calendar, EG Go, and EG Log apps.

EG Pro: This app provides access to all functions in the project module but does not allow changes to the settings. Users with this app also automatically have access to the Calendar, EG Go, and EG Log apps.

EG Pro Light: This app provides limited access to the project module. Users can only view and follow the projects they are responsible for and have no access to the project report module. Users with this app also automatically have access to the Calendar app.

EG Go: This app is used for time and material registration via Go.egone.dk. Users can expand their functionality by adding the EG Log app, which provides access to add images/documents to tasks and fill out quality assurance forms/checklists.

Examples of Combinations

Based on the above, different roles and apps can be combined to assign users the necessary permissions and functionality in Xena, depending on their role in the company and their needs.

  1. A bookkeeper who doesn't need to use the project module should have the EG Pro Light app and the Bookkeeper role.
  2. An employee who only needs time registration and quality assurance should have the EG Go and EG Log apps, as well as the Employee role.
  3. A project manager who is not responsible for accounting but needs to be able to view projects and approve expenses should have the EG Pro app and the Project Employee role.
  4. A project manager who needs access to the entire accounting system and full access to the project module (including setup and reports) should have the EG Pro+ app, as well as the Bookkeeper and Project Employee roles.
